Executive Assistant

Would you like to provide high-level administrative support to the Executive Director of the Crocker Art Museum?

Are you personable, helpful, accurate, resourceful and efficient? Can you organize all aspects of a busy office and an executive with a crazy calendar? Can you handle nearly any situation with aplomb? If you love to work independently organizing every detail of schedules and meetings, can create impeccable record keeping and other systems, are great at relationships and communications and know the proper etiquette in all sorts of situations, then this is the job for you. You will use your administrative skills to:

  • Manage the Executive Director’s calendar including juggling a busy schedule of internal and external meetings
  • Handle travel, lodging arrangements, and expense accounts
  • Compose correspondence and other documents
  • Appropriately handle confidential and/or sensitive information
  • Manage the Board(s) calendar(s) and projects
  • Coordinate a variety of meetings and serve as the official record keeper
  • Respond to any inquiries to the Executive Director’s Office
  • Anticipate needs and prioritize information on behalf of the Director
  • Communicate information properly inside and outside the organization

Prerequisites:

  • Bachelor’s Degree or a minimum of 5 years of equivalent training and experience
  • A minimum of 5 years of progressively responsible administrative experience working in a high pressure environment directly supporting a CEO or Executive Office
  • Experience in a non-profit organization and/or working with a Board of Directors desirable
  • Superior working knowledge of administrative practices including coordination, planning, and office management
  • Ability to communicate effectively both verbally and in writing. Must be able to write reports, memos, correspondence, and other routine documents
  • Exceptional organizational skills, accuracy when working with details, and adjust to changing priorities while working on multiple projects
  • Ability to interact with staff (at all levels)
  • Must be personable, helpful, proactive, resourceful and efficient
  • Highly skilled in using a personal computer and integrated office software

MANAGERIAL RESPONSIBILITIES: Interact with diverse members of the public, staff, volunteers, donors, elected officials, as well as board members of the Crocker Art Museum Association and the Crocker Art Museum Foundation FISCAL RESPONSIBILITIES: Assist in developing and monitoring Administration Department budget

This is a full-time, salaried position with benefits that will be negotiated, commensurate with experience.  Candidates must have flexibility to work evenings/weekends.
