Administrative Assistant

We are looking for someone to be the warm and welcoming face of the office while maintaining accurate, top quality services and records.

You must be able to thrive as an integral part of a rapidly growing insurance office. You need to be honest, motivated, have integrity and a positive attitude toward learning new skills.

This position provides administrative support in the following areas: General Office Administration, Commercial Lines, Personal Lines and Sales and Marketing, with responsibilities for office communication, triaging calls, scheduling, customer service, database input and reporting.

Use your skills to:

  • Listen and easily communicate verbally and in writing
  • Effectively manage multiple tasks, conflicting priorities, and deadlines
  • Answer and route inbound phone calls, voicemail and snail mail
  • Executive assistant duties, scheduling, travel, and help as needed
  • Respond to requests in a prompt, professional and thorough manner
  • Responsible for adhering to the quality control process to ensure the consistency of the work product
  • Administrating policy changes: processing & documenting policy changes, maintaining follow ups to check accuracy
  • Interact with clients, insurance carriers, brokerages & client management system
  • Enter data as required by insurance industry automation systems and provide consistency between platforms
  • Updating prospect reports, pull sales reports, add notes and updates, extracting csv files, manage and create excel spread sheets
  • Generate and submit certificates of insurance
  • Other responsibilities as determined by business need

What you must arrive with:

  • Tech savvy with some knowledge of Microsoft Office Suite, especially Excel.
  • Ability to use standard office communication methods, such as email, scanner, softphone, etc.
  • Willingness to take on challenges and focus on personal responsibility
  • Commitment to customer service excellence.

This position is a full time, salaried position with full benefits including full cost of health insurance. Hours are M-F 8:30 to 5:00 PM.

Compensation DOE. Benefits include Major medical, long term disability, vision/dental, ADD, Life. 18 paid flexible time off days per year. 3% IRA match. Salary and full benefits will commence upon 90 day good review.
